JOB DESCRIPTION: The event executive is the person responsible for planning and executing the event. Event executive has to manage the team under them and are often behind-the-scenes running the event. Event executive may also be involved in more than just the planning and execution of the event, but also brand building, marketing and communication strategy. The event executive must expertise at the creative, technical and logistical elements that help an event succeed. This includes event design, audio-visual production, scriptwriting, logistics, budgeting, negotiation and, of course, client service. It is a multi-dimensional profession. DUTIES IN BRIEF: • Site surveying & Client Service • CR drafting • Supply chain identification • Procurement & Scheduling • Site design, Technical design • Health & Safety including crowd management, • Logistics & Rigging • Sound, Light & Video • Handling Security issues ROLES AND RESPONSIBILITIES: • Responsible for Preparing Checklist for Event. • Responsible for CR • Responsible for Venue Coordination • Coordinating venue management, stand designers, Vendor and equipment hire. • Responsible for Recruiting promoters and other temporary staff. • Responsible for Payroll processes of temporary staff. • Coordinating temporary staffing requirements and staff briefings. • Arranging accommodation for concerned individuals and/or delegates. • Responsible for Materials used in events / exhibitions & promotions • Client Servicing • Coordinating with newspapers, TV, radio and other media for PR. • Coordinating everything on the day of the event to ensure that all runs smoothly; • Handling client queries on the day • Overseeing the dismantling and removal of the event, and clearing the venue efficiently; • Post-event evaluation (including data entry and analysis and producing reports for event stakeholders). • Responsible for material handling, storage and dispatching. • Updating photos/CD of Event in server. • Updating temporary staff / Vendor data in Server • Bill submissions (if any) • During Non event days, executive is responsible for Mall & Apartment visits & report has to be submitted in prescribed format. ...
